2022 VCA Annual Report - Business Process Management Office

The Business Process Management Office (BPMO) provides Portfolio, Program, and Project Management, Process Management, Process Improvement, Change Management, Strategic Planning and data intelligence services to campus departments to ensure alignment and accountability of their strategic projects. The Office provides a comprehensive look at change and improvement efforts happening in the division and across campus. Their FY21 Operating Results & FY22 Budget can be found here.

The BPMO is under the direction of Mike Cook, Director.

FY21

Throughout FY21, BPMO developed tools and processes and drove process excellence for 23 divisions/units across campus. Those units included (but not limited to), Berkeley Regional Services (BRS), University Development and Alumni Relations (UDAR), UC Police Department, Vice Chancellor Administration Facilities, University Extension, and Cal Performance. 199 new processes were developed for University Extension, BRS, Cal Performance and UDAR alone as the top four (4) groups. 

A prominent offering in their catalog includes discovering, standardizing, and documenting business processes using Promapp. In total, the Office has developed 1062 Promapp processes as of December 21, 2021 and in FY21, the Office created 338 new processes. (a 22% increase from FY20). Since inception, their Promapp processes have had over 48K views and last year, their FY21 processes had 14,054 views (a 59% increase from FY20). 

As with most groups on campus, providing support during the pandemic continued to be paramount and the BPMO did their part with supporting the Crisis Management and Recovery Management Team(s), as well as HR Business Continuity during COVID-19. The Office completed the following pandemic-related projects: the Daily Symptom Screener and Flu Shot Survey

The Office has an extensive portfolio of projects they are currently managing (including but not limited to): Reimagining UC Berkeley Campus and Community Safety Program; UC Community Safety Plan; Compassionate Crisis Response; Re-Envision Onboarding Program; ASE/GSR Hiring Improvements; and the VCA Strategic Plan Program Implementation. Additionally, these projects concluded in FY21: Work Authorization & Compliance and UCPD Transitioned Services (Office of Emergency Management, Clery Office, Security Technologies).

  •  Increase process maturity of units actively engaged by the Business Process  Management Office to achieve an average unit process maturity of Stage 2 or above.
